We are seeking a highly organised and detail-oriented full-time accounts/admin assistant to join our Monaghan team. The ideal candidate will play a crucial role in supporting the administrative and financial operations of Universal Graphics. This position requires a proactive individual with a strong sense of responsibility and the ability to manage multiple tasks efficiently.

Key Responsibilities

Assisting the team with:

  1. General office duties, answering phones, responding to emails
  2. Reconciling creditors and debtors
  3. Invoicing
  4. Credit control
  5. Weekly and month end processes
  6. Maintain and organise office files, records, and supplies

To be considered for this position you will:

  1. Ideally have at least a years’ relevant experience and have good computer skills (knowledge of Excel and Word is essential, and knowledge of Sage is an advantage) however, training will be provided

  4. Be a multi-tasker – organised, calm and persistent
  5. Ability to work independently and as part of a team

Customer Sales Support Representative

Due to a large increase in our business, we are seeking a customer sales representative to assist us. In this role, you will play a critical part in ensuring the customer experience is delivered in the most appropriate manner.

 

The role will involve servicing all aspects of the consumer journey from pre enquiry to post production, providing valuable support to our sales and marketing function through effectively responding to customer and prospect queries. This role will involve social media, messaging, phone and face to face conversations. There will be an opportunity to learn and work with both the marketing and sales teams and extensive ongoing training and support will be a key feature within the role.

 

This role will be based at our Monaghan headquarters in Emyvale, and will report to the Head of Sales.

 

The detailed duties of the role involve:

 

Sales call handling:

  • Take and follow up phone and visitor calls and web enquiries
  • Explain the sales process to, and ask qualifying questions of, potential clients
  • Enter details into CRM and other systems as appropriate
  • Follow up quotations and customer enquiries both internally and with clients
  • Schedule calls and meetings and make notes in CRM and other systems as appropriate
  • Answer all customer queries relating to sales jobs

 

Sales support:

  • Liaise between departments and branches to make sure that all customer queries are answered promptly and properly
  • Liaise with scheduling team to ensure that a clean installation will take place
  • Follow up with production, delivery and installation teams to ensure that product has been properly delivered
  • Keep all records, activities, tasks, meetings, etc updated in the company CRM and other systems as appropriate
  • Support the sales team as required

 

Content support:

  • Must be proficient in the use of social media channels and be aware of the various channels that target customers engage and interact on.
  • Should be confident in taking informal product photos that can be used in various content outlets such as social media posting.
  • Distinct advantage to be confident in basic video recording through various social media and editing apps.
  • Distinct advantage to be confident in explaining on camera about various products for social media posts.

 

The person:

  • Ideally you will have at least 2-3 years’ experience in sales and customer service.
  • Good computer skills, including MS Office, a warm personal and telephone manner, and good communication skills will be critical.
  • Knowledge and experience of the fleet branding and signage business is not necessary but will be an advantage.

Head of Finance

We are seeking a new head of finance who can help us achieve our ambitious growth goals.

Working closely with the managing director and the director of sales and commercial, this is a key appointment to the management team and will play a central role steering and directing the business. The detailed role involves the following elements:

 

Strategic:

  1. Preparation and revision of annual forecasts and budgets
  2. Attend board meetings and present our performance to board and external finance partners
  3. Act as the finance expert for the business
  4. Drive the business’s cultural ethic

 

Operational:

Work closely with the sales and operational teams to drive efficiency, improve margins, and help the teams understand their financial performance.

  1. Take responsibility for managing and constantly improving the company’s daily, weekly, and ad-hoc operational reporting
  2. Provide timely and insightful analysis and recommendations into performance, margin, and efficiency at client, department, and branch level
  3. Prepare and communicate regular financial and performance updates in a meaningful manner
  4. Positively challenge current ways of working to improve performance
  5. Work with the operational teams to facilitate process improvement
  6. Oversee IT performance
  7. Support management generally with operational matters

 

Financial:

Oversee and manage all aspects of the company’s finances, including:

  1. Management reporting
  2. Cashflow management, including managing invoicing and driving debt collection
  3. Managing banking, including banking relationships
  4. Monthly and annual accounts preparation
  5. Taxation and legal compliance
  6. Management of finance and IT team

 

Qualifications:

Qualified accountant with a minimum of 3 years’ post-qualification experience in industry.

 

Characteristics:

  1. Good relationship builder
  2. Ability to function effectively at both tactical and strategic levels
  3. Analytical, a problem solver, with strong commercial and analytical focus
  4. Ambitious and driven, a self-starter with strong communication skills
  5. Organised, calm, and comfortable with deadlines
  6. IT literate and proficient in MS Office. Knowledge of Sage Line 50 is an advantage but not essential.
  7. Experience of working in manufacturing/light industry is a distinct advantage, as is knowledge of manufacturing principles, including Lean or similar.

 

Location:

  1. Site based at HQ in Emyvale, Co Monaghan with some flexibility to incorporate remote working where possible.

We are looking for experienced vinyl wrappers to join our vehicle wrapping teams based at NVD Baldonnell, Emyvale, Co. Monaghan and Waterford City.

You will have extensive experience of wrapping, be skilful and diligent, and committed to delivering work of a high standard to tight deadlines. Manufacturer training will be a distinct advantage. You will be joining a great team and a company that is committed to providing a great place to work.

A full clean driving licence is a must, along with a self-motivated, positive, helpful attitude.

Duties:

  • Wrap vehicles to a high standard, on time and within target times
  • Record times and proof of delivery on systems
  • Comply with procedures
  • Manage on-site client relations
  • Planning and liaising with client and the UG scheduling team
  • Work with other UG teams to improve efficiency and reduce waste

The person:

  • Extensive experience of wrapping
  • Manufacturer trained preferably
  • Skilful and diligent, and committed to delivering work of a high standard to tight deadlines.
